BCD: Business events in 2027 will have to justify their investments more clearly

Rising costs and more cautious bookers are changing the criteria for organizing conferences. BCD Meetings & Events expects stricter assessment of business results, earlier risk planning, and more concrete application of artificial intelligence.

A well-organized gathering will no longer be a sufficient argument for the next budget. According to a new review of BCD Meetings & Events’ trends, companies will more carefully assess in 2027 which event deserves investment and how it contributes to their business goals.

The tenth edition of the guide Meetings & Events Trends 2027, Presented on October 28 with sponsorship from Meliá Hotels International, the report provides estimates for a year that will be marked by cost pressures, geopolitical uncertainty, and climate disruptions. These are BCD’s industry expectations, not a guaranteed direction for the development of each market.

Which groups remain in the budget?

BCD expects some companies to preserve the most important events, while others would reduce those with less business value. Others could turn to regional gatherings, local performances, and more flexible contracts. Organizers will therefore need to show what the event has specifically brought to the client.

At the same time, participants are choosing more carefully what to spend their time on. According to BCD, live events should offer credible content, useful connections, and experiences that are difficult to convey on screen. Companies should therefore monitor the entire annual program of events and align investments with business priorities.

For agencies, this opens up the possibility of a more consultative role: already when preparing the offer, it is advisable to agree on the purpose of the event, the target audience, and the way to assess the results. The number of registered participants can be a starting point, but the client should also explain what they want to achieve by bringing them together.

Risk comes up in the first conversation about the destination

Climate exposure, geopolitical disruptions, and operational uncertainty should influence the choice of destination and program design from the outset. BCD, however, describes resilient demand for Europe, the Middle East, and Africa, but different planning conditions across markets.

As reported by Business Travel News Europe, the report predicts the early involvement of legal departments, procurement, and travel security experts. This means that the decision on the location will require a broader agreement within the company.

Artificial intelligence also undergoes a stricter usability test. BCD expects a shift towards applications that save time, facilitate decision-making, and improve the availability of events. The value of the tool will have to be visible in performance.

For MICE agencies, it is a practical recommendation to prepare offers with clearly defined transportation, space, and program alternatives. If the client needs to assess the risks in advance, a local partner can help by providing concrete responses already during the initial destination selection process.
