DMC transfer management without WhatsApp: features of modern transfer software

A transfer is no longer just a line item in a booking. For a DMC coordinating dozens of vehicles, drivers, flights and passengers daily, a quality transfer management system becomes an operational centre connecting the dispatcher, driver and guest in real time.

The guest has landed, but the flight is delayed by 70 minutes. The vehicle scheduled to pick them up already has the next transfer. Another van has enough space, but the dispatcher has to notice this, find a driver, send the new address and inform the passenger.

In many DMCs, that process still involves a booking system, Excel, phone calls and a few WhatsApp groups.

It is precisely in that space that a special category of travel-tech solutions is developing: systems for destination operations, transfer dispatch and ground transportation management.

Their value does not lie in recording yet another booking. Their job is to turn a booking into a vehicle, a driver, an optimal route, a pick-up time and clear communication with the passenger.

This becomes particularly important as the guest experience at the destination is increasingly compared to what Uber, Bolt and other mobility platforms offer. In early 2026, PhocusWire highlighted precisely the fragmentation between flights, hotels and ground transport as one of the obstacles to creating a truly connected journey.

Optimisation of transfers is not just about finding the shortest route

The DMC code is a problem more complex than navigating from the airport to the hotel.

A good system must know how many passengers are arriving, on which flight, how much luggage they have, which vehicle suits the group, where the driver is, when they finish their previous journey and whether they can realistically make it to the next job.

Code for shared transfers is augmented with passenger grouping and hotel sequencing. With MICE groups, it is necessary to manage manifests, coaches, guides and changes that happen practically until the last minute.

Because of this, real-time dispatch board It should be the foundation of the system. The dispatcher must be able to see active and upcoming transfers, available vehicles, available drivers, delays and potential conflicts on a single screen.

The next layer is automation. The system should alert when a vehicle is double-booked, when there is not enough time between two journeys, or when the vehicle capacity does not match the number of passengers.

TUI, even at the launch of the technology for its shared transfers, highlighted this very problem: automated optimisation of schedules and routes can replace hours of manual planning, while simultaneously providing passengers with information on the vehicle's arrival time and the transfer status.

The driver app is important, but the passenger does not necessarily have to install a new app

When choosing a DMC system, one should insist on a good application or mobile interface for the driver.

The driver must receive the new job, passenger details, pickup location, flight, special notes and navigation. Then, through a few simple statuses, they need to confirm that they have accepted the transfer, arrived at the location, picked up the guest and completed the ride.

These statuses feed the dispatch system simultaneously.

Moovs, for example, links the driver's location with live ETA information for the dispatcher and passenger, automatic SMS messages and records of arrivals and departures. Its shuttle product adds route management, capacity management, manifests and passenger check-in.

Limo Anywhere follows a similar path. The DriverAnywhere app provides the driver with trip details, navigation, communication with the dispatcher and flight information. The system supports flight tracking, GPS dispatch monitoring, geofencing, communication with passengers and even the import of manifests intended for DMC companies and group transfers.

For a DMC, however, it is worth considering whether the guest even needs to install the app. A traveller who has booked a package through a foreign tour operator may not install the local DMC's app for the sake of a single transfer.

Therefore, SMS, WhatsApp or a mobile web link through which the guest can see the driver's name, vehicle registration, ETA and vehicle position without installation are often more practical.

What specialised global platforms show

The most advanced features today often do not come from classic DMC reservation systems, but from taxi, chauffeur and mobility technology.

iCabbi, for example, uses Google Fleet Engine to incorporate traffic conditions and real-time ETAs into the dispatch process, linking the data with the dispatcher, driver, and passenger applications.

Onde offers white-label driver and passenger apps, automatic dispatching, vehicle tracking, route optimization, and an API to connect the system with other business applications. In addition to the taxi business, the platform is also positioned for airport transfers, shuttle, and chauffeur services.

Ground Alliance combines bookings, dispatch, fleet management, a chauffeur app, SMS notifications, geofencing and a network of partner operators. This is particularly interesting for DMCs that handle some transfers with their own vehicles and outsource the rest to external operators.

The lesson for a DMC is not that it has to buy taxi software. On the contrary, it needs to look at how much the mobility industry has raised the standard of operational visibility and then set the exact same demands for its own DMC tech partner.

And the region has solutions, but they are not all equally deep in the dispatch

There are already several solutions designed for DMCs in our region as well.

Lemax from Zagreb has been developing a platform for DMCs and tour operators for years. Its operations module enables the creation of transfer lists and the assignment of drivers, guides and vehicles to specific bookings. In doing so, Lemax connects operations with sales, suppliers, finance and the rest of the DMC's business.

Travel Ray is positioned as an operating system for DMC and MICE agencies, connecting itinerary building, reservations, CRM, costs and operational management.

The closest thing to the specific concept of a destination operations system is currently Meridian OS. The system was developed specifically around the transfer board, manifest, vehicles and field teams. This system checks for double vehicle bookings, insufficient turnarounds and capacities, proposes an appropriate vehicle, determines a logical disembarkation sequence and sends drivers a run sheet via a separate application that can operate offline. These are just some regional solutions, but there are numerous others aimed at DMC agencies. I have highlighted them specifically because of their operational organisational concepts, including transfers. This shows that in the Adriatic region there is the know-how for this category, but also that when comparing products, a DMC must check in detail how deeply a particular system goes into the actual dispatch.

What DMC should put on its priority list

When choosing a technology, I wouldn't first ask whether the system has a “transfer module”. Today, that tells you very little.

It is necessary to check whether the system can connect a reservation, flight, passenger, driver and vehicle in real time; automatically detect conflicts; optimise capacity and trip scheduling; track the vehicle and ETA; react to flight changes; and immediately send the same change to the dispatcher, driver and guest.

Subcontracted carrier management, API connectivity with the existing DMC ERP, a detailed audit trail, GDPR compliance, masking of private phone numbers, offline functionality, and reports on vehicle utilisation, empty running, punctuality, and cost per transfer are also important.

In other words, the goal is not merely to digitise today's Excel.

A good system should reduce the number of decisions a dispatcher has to make manually, while still leaving them in control when an operation deviates from the plan.

For DMCs who during the season manage dozens or hundreds of transfers a day, it is precisely this operational layer that could become one of the more important technological investments. The guest may never know what software is behind their transfer. But they will very quickly notice when it does not exist or things do not go to plan 🙂
