Accounting software for travel agencies: how to choose the right solution?
Minimax, e-racuni.hr and PANTHEON can be the accounting basis of the agency. Specialized travel systems further connect reservations, suppliers and travel bills. The choice begins with understanding this difference.
The traveler paid the deposit, the hotel is asking for the rest of the payment, and after changing the airline ticket, an additional cost was incurred. The reservation was confirmed. How much did the agency actually earn on it?
Such an example is worth bringing to the demonstration of accounting software for travel agencies. Issuing invoices is just the beginning of the test. Request that the program also show changes, due dates, refunds, and the travel result, without having to re-compile the invoices in Excel.
Accounting and agency back-office are not the same job
The accounting program processes invoices, bookkeeping, receivables, obligations, and financial reports. The agency back-office connects the financial side of the business with reservations and suppliers. Some products combine multiple functions, while others exchange data with separate accounting systems. PANTHEON and Lemax illustrate these different starting points.
Before seeking out offers, note where the most manual work occurs. With an intermediary agency, include fees and obligations to the organizers. The tour operator or DMC should review the calculations, the supply costs, and the group’s results. The business travel agency should add a summary billing and the allocation of costs according to the requirements of the corporate client.
You do not need to replace everything you already use. Lemax and MARS predict integration with accounting programs. When the existing bookkeeping system works well, first check if the connection with the operational system can be improved.
Where do Minimax and similar solutions fit in?
Minimax It covers outgoing and incoming invoices, bank statements, payment orders, and open items. It also enables the exchange of documents between entrepreneurs and accountants. It is worth considering when the main goal is to streamline invoicing, billing, and collaboration with the accounting service.
Minimax documentation mentions a connection with MegaBooker’s booking system for hotels, travel agencies and renters. An API is also available for connecting with other applications. However, this is not a confirmation of a complete integration with every travel program or GDS. You should ask the suppliers for a precise description of the data that is being transferred and what the employee needs to fill in.
e-racuni.hr In addition to the business and accounting functions, it offers an additional module called „Reservation Records / Tourism”. Its scope should be examined on its own arrangements: what is kept through the reservation, how the documents are linked, and what is included in the selected package.
PANTHEON Datalaba is a broader accounting and ERP platform, offering in several regional markets. It covers general ledger, receivables, payables and reporting. Agencies that already use it should verify the connection with the tourism program before deciding to change the entire system.
Comparison of software for travel agencies
The review covers selected accounting solutions and specialized agency systems. It is not a ranking list. Descriptions are based on the manufacturer's official documentation, not on independent testing. Localization, included modules, and support for a specific country must be confirmed in the offer.
For specialized systems, check the details for differences. Lemax, for example, lists multiple payers per reservation and recurring payments. MARS allows monitoring the profitability of tours, groups, or packages. TINA predicts importing reservations from external systems and exchanging data with accounting. These functions should be compared with your own processes, not just with each other.
Check the most important functions on a real reservation
Start with the money. Look for an overview of the charged amount, the remaining debt of the traveler, advance payments to suppliers, and future obligations. Test a joint payment for several reservations and a supplier invoice covering multiple trips.
Then check the difference between Planned and achieved margins. In the test arrangement, add the additional hotel cost, the subagent commission, and the card fee. Request an explanation of all the items included in the result. Do not equate the travel result with the entire agency's profit, which also has other costs.
The purchase invoice may not have arrived yet, but a confirmed reservation already implies a future obligation. Lemax also lists confirmed, yet unbilled reservations in its reviews. It is worth checking this possibility when evaluating the future cash flow.
One reservation, four checks
Proposed test for software demonstration. Use an anonymized object from your own business.
Advance payment
Link the account, payment, and remaining balance to the same reservation.
Suppliers
Check the contracted costs, invoices, and future receivables.
Change
Process partial cancellation, refund, and change of the delivery price.
The bill
Compare the margin and check the data transmission to accounting.
Note what the system processed automatically, and what you had to manually add or correct.
For group travel, add a calculation for different numbers of passengers. When doing business in multiple currencies, check exchange rates and exchange differences. If you have multiple legal entities, request separate records and a clearly defined method for joint reporting.
Airline sales require more than importing PNR data
When selling airfare, the demonstration should cover issuance, replacement, refund, and subsequent correction. For each sales channel, including Travelport, Amadeus, Sabre, NDC aggregators, and direct connections with airlines, seek a separate description of the integration. What data is imported? Are changes and refunds transmitted? How is double entry recognized?
The BSP serves as a reporting and financial reconciliation between the involved airlines and accredited agencies. An agency with its own IATA accreditation should therefore verify the compliance of internal sales with the BSP calculations. For working with a consolidator, adjust its documentation and calculation method accordingly.
Do not confuse the existence of an API with complete integration. Minimax, for example, provides an API for data exchange with external applications. For a specific agency program, however, request a demonstration of transmission, error handling, and a commitment to maintain the connection.
Tax settings, eInvoices and security
In the test, include sales in your own name, brokerage, advance payments, storage fees, and approvals. The accountant should check the documents and bookkeeping, as well as the application of the special taxation procedure where relevant. For each country in which you operate, seek separate confirmation of the required functions. The language of the interface is not a sufficient criterion.
With eRačun, you are looking for a view of the sending, receiving, status, rejection, and correction of documents. Clarify the boundary between agency records and bookkeeping as well. ATLAS, for example, lists integrations with the Serbian SEF and the eTurista CIS; this is not in itself proof of support for the same processes in other markets.
Check who can change prices, approve refunds, or edit the vendor's bank details. Request a view of the records of changes, the rules for creating backups, and the procedure for returning data. Also arrange for how to export them when the service is no longer used.
Compare the cost of the entire system, not just the subscription
Request the total cost over three years. When including licensing or subscription, include implementation, migration, training, integration, additional users, and support. When combining a travel program and accounting, clearly specify who maintains the connection and who resolves the problem when a transfer fails.
Any requested feature in the offer should have the status: it is included, it is paid for extra, it requires development, or it is not yet available. „We can do it” is not the same thing as „working from day one”.
Before the transition, arrange for a trial transmission of future reservations, open items, deposits, and obligations to suppliers. Include the accountant and the employee who processes the changes on a daily basis in the verification. Link the adoption of the migration to synchronized data and successfully processed test cases, not just the date of program launch. My advice would be to try working the process in parallel using the old and new “system” to ensure that the process will function flawlessly, while reconciling any potential shortcomings or adjustments on the fly.
